If an unforeseen event forces the competition to be cancelled, postponed or interrupted, a significant proportion of that expenditure may be irrecoverable.

Sports event cancellation insurance, also known as contingency insurance, allows specified risks to be transferred to the insurance market. It does not remove uncertainty or cover every setback. It responds only to insured causes and insured financial losses, subject to the agreed limits, deductibles and policy terms.

The exposure is not theoretical. On 28 April 2025, a power outage forced the suspension of both the day and night sessions at the Mutua Madrid Open, as announced by the tournament organisers. Following the severe DANA weather event, the RFEF postponed the professional and non-professional football matches scheduled in the Valencian Community in October 2024 (RFEF statement). In both cases, the cause was outside the competition organisers’ control.

“The first question should not be how much it costs to insure the event, but how much the company could lose if the event cannot take place or has to be rescheduled.”

Albert Tomás, Sports Director at RibéSalat

What is sports event cancellation insurance?

Sports event cancellation insurance is designed to protect the investment associated with an event when a circumstance beyond the insured’s control prevents it from going ahead as planned. Depending on the policy, cover may extend to full cancellation, postponement, interruption after the event has started, or permanent abandonment.

The policy wording is always the starting point. The product name alone does not determine the scope of cover. Two programmes for similar events may respond differently if the insured perils, declared expenses, period of insurance or exclusions differ.

What circumstances can affect a sporting competition?

Insurable causes depend on the event, venue, date and available market capacity. Potential extensions include:

Adverse weather conditions that make the event unsafe or impossible to stage.

Physical damage to the venue, course, stadium or essential facilities.

Non-appearance of a key person due to illness, accident or death, where their participation is essential.

Failure of utilities or material technical breakdown, where expressly insured.

Inaccessibility of the venue or orders issued by a competent authority, subject to the agreed terms.

Terrorism, national mourning or other high-impact events, which usually require a specific extension.

Other sudden, accidental causes beyond the insured’s control that are not excluded.

Some risks require specific extensions or may not be available. Terms such as “force majeure” or “all risks” should therefore not be interpreted broadly without checking their contractual definition.

For outdoor events, the insured weather trigger must be agreed with the insurer and capable of objective verification. Official warnings issued by the Spanish State Meteorological Agency (AEMET) are commonly used to document conditions, provided the policy permits this evidence.

Which costs and revenues can be insured?

Cover is generally structured around costs and commitments that the organisation could not recover following an insured event. Depending on the programme, loss of revenue or profit may also be covered where it is declared, quantified and expressly accepted.

Category

Examples

Points to review

Production and venue

Hire, build, audiovisual equipment, lighting and security

When the payment obligation arises and what portion is refundable.

Suppliers and personnel

Catering, technicians, temporary staff and professional fees

Cancellation clauses and penalties.

Marketing and communications

Campaigns, creative work, printing and signage

Which incurred costs cannot be reused.

Travel and accommodation

Transport and accommodation for athletes, teams or guests

Cancellation terms and negotiable credits.

Expected revenue or margin

Ticketing, sponsorship and other income

Whether included and how the loss must be evidenced.

“A single overall budget is not enough. To insure an event correctly, recoverable, partly recoverable and irrevocably committed costs must be separated.”

Albert Tomás, Sports Director at RibéSalat

What is usually excluded?

There is no universal list of exclusions. Policies commonly restrict or exclude circumstances known before inception, voluntary decisions by the organiser, poor sales or attendance, financial insufficiency, contractual default, failure to obtain permits, wilful misconduct or gross negligence, and undeclared risks.

Communicable diseases, labour disputes, terrorism, cyber incidents, national mourning, government restrictions and weather conditions require particular attention. They may be excluded, subject to sublimits or available only through an additional extension.

Which organisers and sporting events should consider this cover?

The need for cover does not depend solely on event size. A mass-participation race may concentrate costs for permits, signage, security and timing; a tournament may depend on a venue with no viable alternative; and a championship may create significant commitments to sponsors, teams and participants. Cover merits particular consideration where:

there is a significant level of irrecoverable expenditure;

the event depends on a specific date, venue or key person;

the event is outdoors or exposed to adverse weather;

contracts include penalties or sponsorship commitments;

cancellation could affect cash flow, financial results or the continuity of the project;

the event forms part of an annual calendar or is replicated across several locations.

Spain has a substantial competition base. In 2025, there were 4.3812 million registered sports federation licences, 1.5% more than in 2024, according to the 2025 Statistics on Federated Sport published by the Spanish Sports Council.

How to calculate the sum insured

The sum insured should reflect the actual financial exposure, not a rounded estimate. A practical method is to prepare an insured budget covering four areas:

Costs already paid and irrecoverable.

Contractual commitments that would remain payable.

Reasonable additional costs incurred to prevent or reduce the loss, where insurable.

Revenue or margin to be protected, where permitted by the policy.

Refunds, credits, savings and reusable items should then be deducted. Where there are several dates, venues or stages, the maximum exposure per event and any aggregation should be identified. A prior risk analysis helps organise these figures before approaching the market.

How much does sports event cancellation insurance cost?

There is no standard rate. The premium is calculated case by case according to the exposure transferred to the insurer and the likelihood of loss. Key rating factors include:

The sum insured and the costs or revenue included.

The insured perils and extensions, such as weather, key person non-appearance, terrorism or communicable disease.

The event type, location, date and capacity.

Seasonal and venue-specific weather exposure.

The agreed deductible and sublimits.

Dependence on people, venues or suppliers without alternatives.

The organiser’s experience and contingency plans.

How far in advance the risk is submitted.

Comparing scope before price helps avoid surprises. A low premium may reflect an inadequate sum insured, material exclusions or a high deductible. Deductibles, limits and event stages can be adjusted to control cost, provided the principal exposure remains protected.

How to arrange sports event cancellation insurance effectively

1. Start the analysis early

Capacity and terms may change as the event date approaches or known circumstances emerge. Involving the insurance broker during the design stage provides more time to organise information and assess alternatives.

2. Present the risk in full

The insurer may request a detailed budget, programme, dates, location and capacity. A clear submission supports consistent underwriting and meets the disclosure duty under Article 10 of the Spanish Insurance Contract Act: all known circumstances that may influence the insurer’s assessment must be disclosed in accordance with the insurer’s questionnaire.

3. Compare scope, not only premium

Compare insured perils, definitions, exclusions, deductibles, sublimits, period of insurance, notification duties and loss valuation provisions. A cheaper option may be inadequate if it excludes the principal exposure.

“The quality of cover depends both on the policy wording and on the information provided. An incomplete or poorly quantified risk can create disputes precisely when a loss occurs.”

Albert Tomás, Sports Director at RibéSalat

What to do if cancellation or postponement becomes possible

If an incident occurs, the company should act quickly and follow the procedure in the policy. As a general guide:

Notify the broker and insurer without delay. As a general rule, Article 16 of the Spanish Insurance Contract Act sets a maximum of seven days from awareness of the loss, unless the policy allows a longer period.

Avoid irreversible decisions without coordination, unless necessary to protect people or prevent further damage.

Document the cause using reports, official warnings, photographs, technical records or certificates.

Retain contracts, invoices, proof of payment, communications and refund terms.

Record measures taken to preserve the event, reduce the loss or negotiate postponement.

Separate claimed costs, recoveries, savings and additional expenses.

The duty to mitigate is important: insurance does not replace active incident management. Article 17 of the Spanish Insurance Contract Act requires the insured to use available means to reduce the consequences of the loss. Failure to comply may reduce the insurer’s payment. Rescheduling, changing venue or adapting the format may be viable alternatives, subject to the policy and any required insurer agreement.

Common mistakes

Arranging cover too late.

Insuring only part of the budget without analysing additional commitments.

Assuming weather or non-appearance cover is automatically included.

Failing to disclose dependence on a particular athlete, team, venue or essential supplier.

Confusing cancellation insurance with event liability insurance.

Failing to review contracts or retain sufficient evidence of the loss.

Protection aligned with sporting operations

A well-designed programme combines financial analysis, contractual review, prevention and risk transfer. The broker’s role is to translate the event’s operations into a risk map, compare market alternatives and support the insured if a contingency occurs.

At RibéSalat, we address these risks from both a technical and business perspective. We analyse the exposure, structure the information for the insurance market and support the company throughout placement and, where applicable, during claims management.

Why robust cover matters for a sporting event

Sports event cancellation insurance protects the investment in a competition only when it is designed alongside the budget, contracts and event calendar. The events of 2024 and 2025 show that competitions can be cancelled or postponed for reasons beyond the organiser’s control, while committed costs remain. Identifying irrecoverable expenditure and potential causes of cancellation early helps ensure that cover responds when the unexpected occurs.

As an independent broker specialising in corporate risks, RibéSalat supports organisers in analysing their exposure and designing and reviewing sports event cancellation insurance solutions tailored to each event, always subject to the specific terms available.
